Transition from in-person training to online training has been decided due to the COVID-19 pandemic.
Japan Cooperation Center for Petroleum and Sustainable Energy (JCCP, abbreviated) was established in 1981 with the aim of promoting friendly relations through technical cooperation and human exchange with oil-producing countries, and contributing to the stable supply of oil in Japan. It carries out various projects such as accepting trainees from oil-producing countries, developing industrial infrastructure, inviting foreign dignitaries related to oil, and hosting international conferences.
Among them, the human resource development project has invited over 25,000 technicians, managers, and others from 50 countries in the Middle East, Asia, South America, and other regions since its establishment. It is a project that promotes understanding of Japan's technology and knowledge and deepens understanding of Japan itself through various group training programs.
In 2020, due to the spread of the new coronavirus, it became difficult for people to enter Japan from overseas. JCCP immediately decided to switch from in-person training to online training. They adopted a live streaming format where instructors and participants can have real-time conversations using online meeting tools. They also prepared online training materials based on the materials used in in-person training. There are about 10 instructors who have created over 300 materials for the training. They worked at a rapid pace to prepare for the training and wanted to start as soon as possible, but at the same time, they were also facing challenges such as wanting to upgrade the content and presentation and finding ways to utilize the materials created for in-person training in an online setting.
I want to create training designs and materials suitable for online use.
Face-to-face group training and online training differ greatly in terms of training design and class management. For example, in face-to-face training, the lecture can be conducted while observing the reactions of the participants, but in online training, even if the camera is turned on, it is difficult to notice small details. In addition, all participants of JCCP's training are living overseas, so online training is different from the group training that was conducted in person in Japan.
Including these points,
・It is necessary to acquire knowledge about designing suitable for online training and consider it from the design stage.
・We need to proceed with the creation of materials for online training at a rapid pace, but what points should we keep in mind when creating materials to be used online?
・We would like to unify the design of the materials for group training that we have been using so far, as an opportunity to transition to online.
You may have faced challenges such as these.
As a company that can provide comprehensive support for materials creation and training design, we received an inquiry from Human Science Co., Ltd. in July 2020.

Points of Proposal
After inquiries and proposals, a contract will be made.
In July 2020, we received an inquiry and made a proposal in the same month. In August, we signed a contract and kicked off the project.
As an urgent task, we received a request to quickly understand the key points for creating online training materials in order to start offering them in October. As a result, we decided to prepare a seminar for instructors.
Introducing "Key Points for Creating PowerPoint Materials"
Two weeks later, we conducted online seminars on "Key Points for Designing Online Training" and "Key Points for Creating PowerPoint Materials" for approximately 10 instructors. Prior to the seminars, we provided several pre-made materials for review and then proceeded with the following content.
・Online Training Design
・Basics of Manuscript Creation
・Tips for Visualizing Information
・Methods for Reviewing Manuscripts
・Introduction to 2 ID Models Useful for Course Material Creation
・Tips for Creating Tests
Implement personalized advice tailored to individual challenges through individual instruction
After grasping the tips for creating teaching materials at the seminar, we have started individual online guidance so that you can freely consult about issues related to creating teaching materials.
We provided more practical advice while looking at the teaching materials in progress that were sent in advance.
Create a new design for teaching materials (PowerPoint) and unify
In parallel with the seminar, we conducted "PowerPoint template design creation".
We create designs after hearing requests such as "base color" and "overall tone (pop feeling, calm feeling)". We also create materials that are easy for instructors to use, such as "sample creation" and "color sample" using some of the materials in the process of creation.
In addition, we also provided support for creating materials upon request (e.g. creating invitation materials for JCCP-sponsored forums).
Introducing "10 Points Instructors Should Keep in Mind for Online Training"
In February 2021, the second seminar was held. The instructor, who is also a member of the ATD International Member Network Japan, introduced useful advice and methods for online training, including the latest information from overseas.
In addition, examples of utilizing e-learning, VR, and videos were also introduced as useful information for further developing online training in the future.
・Advice for instructors conducting online training
・Design of online training
・Methods for promoting communication
・Creation and utilization of e-learning
・Utilization of VR and recorded videos
