    e-Learning Material Production Service

The medical industry is always at the forefront of innovation and evolution. In order to succeed in this environment, sales representatives or users such as doctors need to have accurate knowledge about the latest medical equipment and technology. In particular, foreign manufacturers are making various efforts to introduce and popularize their products in the Japanese market. As part of this effort, e-learning materials (educational materials and training programs) produced overseas, including at our headquarters, are translated into Japanese and localized to comply with Japanese regulations and products. This content is then provided to medical professionals in Japan to promote understanding and utilization of the products.

In this article, we will introduce an example of a project conducted by Human Science with a major foreign medical device manufacturer, as well as introduce the added value of translation services for pharmaceutical and medical e-learning materials.

    1. Added Value to Foreign Medical Device Manufacturers

    Communication with Patients

Medical devices are used by healthcare professionals with specialized knowledge. However, product descriptions and instructions are often written in the manufacturer's language, which can create a communication barrier. Our translation services localize this specialized information into a language that healthcare professionals can understand. This allows them to use the product correctly and optimize care for patients.

    Quality Assurance

Medical devices and pharmaceuticals directly affect people's health, so the quality of translation is extremely important. Our translation services are carried out by translators with specialized knowledge and experience. In addition, experienced specialist reviewers (checkers) check the entire translation and coordinate with each other even when multiple translators are involved, contributing to the overall stability of translation quality. This ensures that product descriptions and instructions are accurately conveyed, allowing healthcare professionals to use the products with confidence.

    Compliance with laws and regulations

To ensure the safety of products and protect patients, the medical industry is strictly regulated by laws and regulations in each country. Our translation services understand these laws and regulations and reflect them in our translations, ensuring compliance through consultation with our clients. This allows companies to avoid the risk of legal violations and maintain reliability and safety.

    Rapid access to the market

After developing new medical equipment or pharmaceuticals, the time until they are launched on the market is extremely important. Our translation service offers a one-stop solution for translating e-learning materials, recording narration, authoring materials, and testing on LMS, allowing for a speedy product launch. This enables our clients to maintain a competitive advantage and achieve success in new markets.

    2. Overview of e-Learning Material Localization Project: Foreign Medical Device Manufacturer

    Services

    ・Translation
    - From English to Japanese

    ・e-Learning Material Production
    - Narration Recording
    - Video Editing
    - Storyline/PowerPoint/Word Authoring
    - Debugging/Operation Verification

    Request

We received a request to translate and localize over 170 training programs for medical devices used in overseas arrhythmia treatment for domestic medical professionals.

    Volume

Storyline: 101 books (approximately 1,500 slides)
    PowerPoint/Word: 77 books (approximately 150 pages)
    Narration Recording: Approximately 220 minutes
    Video: 109 books

    Production Period

Approximately 6 months (production period per piece is approximately 1 month)

    Background

In our department, we handle systems and equipment used for diagnosing and treating arrhythmia. Prior to this project, our company has a track record of translating and creating training programs from English to Japanese for another department, which was recommended to us by the Business Development Manager of this department.

Translation specialized for the pharmaceutical and medical industry

Our highly qualified translators who have passed our strict screening criteria (with a pass rate of less than 20%) have provided high-quality translations using CAT tools such as Trados and Phrase TMS. In addition, native reviewers with M.D (Doctor of Medicine) and Ph.D (Doctor of Philosophy) degrees are responsible for checking the work and ensuring overall accuracy and stability of translation quality by coordinating with multiple translators.

    Translation Support Tool (CAT Tool)

Translation support tools utilize translation memory (TM), glossaries, and quality check functions to improve translation quality, shorten delivery time by reusing past translations, and reduce costs. In addition, we place a strong emphasis on data protection to minimize the risk of data leaks. By utilizing these features, translation projects using translation support tools such as Trados can achieve improved translation quality, shortened delivery time, cost reduction, and data security.

    ● Standardization of terminology using translation support tools

Translation support tools are important tools for maintaining consistency in translation. They provide a "terminology base" function to consistently translate specific words and phrases. This ensures consistent terminology usage throughout the document and makes it easier for readers to understand.

    ● Specify technical terms using a glossary

A glossary is a list of specialized terms used in a specific field or project. This is used by translators to ensure the use of accurate terminology, resulting in the accurate communication of technical content.

    ●e-Learning Material Production

By providing e-learning material production as a one-stop service, we were able to quickly and efficiently respond to our clients' needs. By collaborating with external partners for certain processes such as narration recording, and managing and handling major tasks such as video editing and Articulate Storyline-based material production in-house, our clients were able to significantly reduce the time and effort of dealing with multiple vendors and coordinating with them.

    ●Narration Recording

Due to the impact of the COVID-19 pandemic, it has become difficult to record in the studio. In order to be flexible in handling large amounts of recording, we have asked professional narrators to record from home. This method, called remote recording, allows narrators to record in their own environment, such as their home or office, and communicate through email to receive instructions and send and receive files. In order to save time and costs for re-recording, we carefully prepare instructions for specialized terms and intonation beforehand, and thoroughly check for any mispronunciations or awkwardness after recording to ensure high-quality narration.

    ●Video Editing

In addition to replacing the narration from English to Japanese, we also adjusted the timing of the narration and video. We also carefully replaced the English text in the video, such as subtitles, with Japanese to ensure that it does not affect the understanding of the viewers, and created a unified teaching material that seamlessly integrates with the Japanese version.

    ●Authoring

In addition to translating (localizing) e-learning content (Storyline), we also translated files such as Word and PowerPoint and converted them to PDF for use. We paid attention to details such as the overall layout, font, and font size of each file to maintain visual consistency. This ensured that the quality and value of the translated content was not compromised, resulting in the best learning experience.

    ●Debugging/Operation Verification

We have confirmed that the translated content works correctly and that learners can operate smoothly using our LMS. By verifying and correcting various aspects such as interactive elements and slide transitions, we have provided learners with the best learning experience.

    3. e-Learning Material Localization Project Review

This was a project to localize a large number of training programs, and various ideas were needed due to the situation of multiple books being in progress for a long time.

In order to address the challenge of scheduling for studio and on-site recording, we have adopted the practice of "home recording" where the narrator records from their own home. This allows for more flexibility in our production schedule by eliminating the need for scheduling and on-site recording time.

I believe that by emphasizing communication between internal teams and external partners and sharing progress reports and necessary information at appropriate intervals, we were able to increase transparency and smoothly progress the project, in order to maintain delivery deadlines and quality.

Thanks to such efforts and collaboration between internal teams and external partners, the project was successfully completed. Moving forward, we will continue to strengthen cooperation within and outside the team, and strive to provide efficient and high-quality deliverables in large-scale projects.

    4. Summary

Our pharmaceutical and medical translation services play an important role in promoting understanding among healthcare professionals. Advancements in medicine directly impact our daily lives. In order to understand and utilize these advancements properly, accurate information transmission is essential. We hope that Human Science's translation services can be of assistance in this regard.
